DUTYMAN NOTES
- You can look at Dutyman without logging in.
- You can only swap if you are logged in (your duties will be in red if you are).
- Your Safety Team Leaders appreciate, VERY MUCH, if you tick the confirmation box saying you will attend.
- Please try to swap an identical duty
- Be patient when waiting for replies to swaps as not everyone looks at their email in-box on a regular basis.
- Please try and swap when you know that you won't be able to do a duty. If you don't get a reply, try again nearer the time.
- Please reply to all swap requests even if it’s "No" (otherwise the requester doesn’t know).
- If, because of some last minute emergency you can’t make it, please let your Duty Team Leader know. If you are unable to contact your Duty Team Leader please notify the IBRSC Team Manager.
- At the top of every Dutyman screen there is a tab marked “How do I”. This explains how to ask for swaps, print out your duties etc and is very useful.
- Dutyman will only remind you of upcoming duties if your contact details are correct, use the "Update your contact details" in Dutyman to check and amend your email address (don't forget if you change your contact details to notify the Membership Secretary too).

How do I access Dutyman? (Back to top)
You can access Dutyman either by
- clicking on the link in any Emails sent to you by Dutyman automatically logs you on and doesn’t require your password
- clicking on the Dutyman box on the IBRSC Website’s Home page (the link can be found in the left hand menu "Useful links" and the "This Month" section)
I've forgotten my password / Login details (Back to top)
Three lines below the password entry box is a link "Don't know name or password?"
Clicking on that (or the above link) will take you to the relevant screen in Dutyman to retrieve your details. Enter your email address (This must be the same one that you gave IBRSC)
Dutyman will send you your login details
in the event that Dutyman does not recognise the email it may mean one of three things
- You are using a different email address or have spelt your email address incorrectly
- You may not be on the system at this time (No duties pending)
- You are not a member - please go away
Why have I been allocated a Duty? (back to top)
The club is run by members for members and all active members are asked to do a Duties.
Duties are allocated by the Duty Team Leader on the day and normally will involve one or more of the following roles:
- Race Officers
- Safety Boats
- Club House (refreshments etc) If your circumstances change and you are not able to do duties then please e-mail or write to the Membership Secretary explaining your change in circumstances.
I’ve been allocated a Duty for the first time – who do I contact if I need help? (back to top)
The Dutyman e-mail will give you the name of the Duty Team Leader for the month and their contact details - please check with them for information and duty times. New members will normally be on duty with more experienced members so don’t worry!
I can’t do the Duty that I’ve been assigned – what do I do? (back to top)
If you are unable to do your duty then please use Dutyman to rearrange and swap duties. Do let your Safety Team Leader know if you are unable to find a swap, their telephone numbers are on the Club's website (click here to visit the duties page ) and printed on the Club's Sailing and Information Programme (given to members each year at renewal and available from the Club House).
My partner and I have been assigned duties on the same day and both need to swap – how do we do this? (back to top)
One of you can request a swap and put a comment in the message box on the swap request saying “X and I both need to swap from this date”. When you receive a positive reply then you can request the second swap. For Example X asks for a swap with A, mentioning that Y also needs to swap. A replies that A and B can swap. Y then requests a swap with B.
People often ask to do duties together because they helm / crew together so you should be able to swap. Alternatively you can see telephone numbers on Dutyman, telephone around and confirm your swaps on Dutyman later.
My partner and I are assigned duties on the same day but we can’t do duties the same day for various reasons – what do we do? (back to top)
One of you should swap. Please make a note on next year’s renewal form that you need separate days and we will try to take this into account when putting the rota together.
I’ve been allocated a duty on a day of the week when I’m not available. What do I do? (back to top)
Please arrange a swap for the duty currently in the rota. Please e-mail the Team Manager to tell them which days you can do duties and also make your availability for duties clear on next year’s renewal form. We will try to take all requests into account.
How do I use the Multi Select for swapping duties (back to top)
To use multi-select, log in as a member, and go to the Duty Swap tab on the right.
Select the duty you want to swap out of by clicking its arrows.
Then, in the tab on the right, click the multi-select button.
The selected duties will now show in bold in the roster. They will start from TODAY's date (not the date of the duty you want to swap). and may include other duties on the day you are trying to swap from.
To de-select any you don't want to request, click their arrows. The bold text will be removed, and the count in the Duty Swap box will go down by one.
When satisfied you have a list of duties you really want to request swaps for, click 'request swap'.
So this is useful if you have a duty in the next few weeks to swap but may not be if you need to swap a duty a few months away. You may find yourself down for duty on another date you can't do if you don't check and deselect the duties selected.
